Provider Address Updates and Medicaid Maximum Rate Increases
Providers Must Ensure Accurate Address Prior to the 2023 Tax Season
Ohio Shared Services will be mailing out the 1099 forms in January and all providers should ensure that their current mailing address is in the system. 1099 forms that are returned due to address issues will cause your payment accounts to be inactive, and Ohio Shared Services will not issue payments until the address is updated. Updating your information via the OhioPays portal listed below may be more efficient. Please verify your address with Ohio Shared Services by using the Ohio Pays portal at https://ohiopays.ohio.gov/, by calling 1-877-644-6771, or by emailing OBM.sharedservcies@obm.ohio.gov.
Medicaid Maximum Rate Increases in Effect on January 1, 2024
Rate increases for the Medicaid waiver services go into effect on January 1, 2024. This will affect any claims with dates of service of January 1, 2024 forward. Incident Reporting Requirements
An Incident Reporting Form (IRF) must be completed for all MUIs and UIs.
All IRFs for MUIs must be sent to MUI@dcbdd.org by 3pm on the following business day.
Monthly Requirement
- All providers are required to complete monthly UI Logs, which are reviewed by DODD and DCBDD during compliance reviews. Please note, logs must show evidence they were reviewed at least monthly, even when no incidents have occurred. Evidence can be shown by signature and date on the log. - DCBDD will request UI Logs from all providers at least once per year. When requested, UI Logs may be mailed to the Delaware County Board of Developmental Disabilities or emailed to UILogReview@dcbdd.org.
Annual Requirement
- By January 31st of each year, all providers shall conduct an in-depth review and analysis of trends and patterns of MUIs occurring during the preceding calendar year and compile an annual report. Providers shall send the annual report to the county board for all programs operated in the county by February 28th of each year.
- Annual MUI reports for Delaware County should be sent to MUI@dcbdd.org. You are required to complete and send this analysis to the County Board even if you do not have any MUIs to report. These forms can be found on our website at the links below:

- If you have not provided your annual report to DCBDD for 2022, please send it to MUI@dcbdd.org.

They are intended to be a resource to help providers document all the required elements in the service rules. You can find the forms here.

DSP and Provider Support Open Door Sessions Changes Schedule
Open Door Sessions are a time for providers, direct support professionals, and county board provider support staff to come together with DODD staff to network, brainstorm, and discuss issues related to the support of providers and direct support professionals.
The sessions were previously held on the 2nd and 4th Wednesdays of the month. Due to low participation, the session held at 4 PM on the 4th Wednesday of the month is being canceled.

HIPPA Training: Authorizations for Release of Information Workshop

Authorizations for Release of Information Workshop
This workshop led by MyHIPAA Guide will cover procedures on how to handle authorizations for release of information under HIPAA privacy regulations. The workshop will cover:
- Required elements of a valid authorization for release of information
- Review of procedures surrounding authorizations, including revocations; expirations; and how long an organization has to respond to a received request for information
- Exceptions to an authorization for release of information (i.e., psychotherapy notes)
- Denials for requests for information
- Authorizations for use of information by the organization (i.e., photo release; promotional use; social media use)
The following three templates will be provided to registrants prior to the session:

- Photo and/or Video and/or Social Media Release Form

Delaware Girl Progresses into Teen Years with Confidence

A nearly middle school-aged girl chatters ecstatically about everything she got for the holidays this year as her mom and younger sister look on, smiling. Her face lights up as she describes her family home, her siblings, and their new puppy all as if she can’t wait to get it out. She gets even more thrilled as she’s asked questions about what she’s looking forward to in the coming months and years.
Adalyn Schwab, an 11-year-old Delaware native, has made significant progress on her goals throughout 2023 and is looking forward to continuing that progress into the next year.
She has been getting level-one waiver services through DCBDD since she was six months old and utilizes Medicaid benefits as well.
One of Adalyn’s biggest goals for 2024 is to continue improving her communication skills.
“People can understand what she’s saying now, which has been such a game changer,” says Adalyn’s mom, Allison Schwab.
Adalyn has also worked on personal safety using her GizmoWatch 2. The watch allows Adalyn to call family members by selecting their picture from the scrollable digital touch screen. She said the watch is easy to use and that she enjoys using it.
She has utilized this device to call many of her family members on a regular basis. It also allows Adalyn to participate in after-school activities, such as cheerleading, without her parents worrying or being unable to get ahold of her.
She was also able to participate in equine therapy through her waiver which helped with her speech, utilizing core muscles, and overall becoming stronger.
“That helped with speech a lot as well,” said Allison.
The family is hoping that the addition of a golden retriever puppy, Hudson, who will be trained as a service dog to accompany Adalyn, will help her become more independent as she grows into her teen years.
“We had a big golden retriever named Hudson who became an informal service for Adalyn, he just was never trained for that, but became one over the years. He passed away this past summer, so we got the puppy, and this one we are actually going to train,” said Allison.
The younger Hudson is still working on puppy training skills right now, such as potty training and basic commands. Allison said the whole family is excited to have him around and add additional support.
“My other dog was the BEST dog ever, but I like the puppy too,” Adalyn said.
Adalyn is incredibly excited about all the upcoming transitions she is about to experience. She is entering her last year at her current school and starting the transition to middle school soon and will be turning 12 in June.
“She is starting to get into the pre-teen phase and we’ve been working on changing some of the things she has been requesting,” said Allison.
Allison said she and Adalyn have been working on making her room more “pre-teen friendly” in the new year and have added lights above her windows and other fun decorations. She is very thankful to her parents for helping her with all of the new things she has requested.
“My mom is the best mom EVER because she helped me change my room around and move my bed and clean,” Adalyn said.
